Gala Run-Thru Rehearsal

Oakland Mills High School

8:30am                       Call for singers, orchestra and dancers

 

8:45-10:00am  Singers and Dancers rehearse opening and closing with Orchestra.

                        Orchestra remains to run excerpts.

 

In order to run the rehearsal as effectively as possible, all participants and the Director are expected to be present at the beginning of the hour for their excerpt rehearsal. We are expecting that each excerpt should take about 15 minutes to rehearse on the stage. Once your excerpt has been rehearsed, your students are excused. Please check in with Cate Barry or Kathryn Carlsen before you leave.

Gala Dress Rehearsal and Show

Hippodrome in Baltimore

 

8:00 – 9:00 AM  – Arrival, setup for orchestra, post signage, set up Parent stations, label costume racks by school.

 

9:30 AM – Call for ORCHESTRA, SINGERS and DANCERS

 

10:00 – 11:00 AM – Orchestra run through (1K room)

 

10:00-11:15AM          Group Calls for Schools (Arrival, Load In Props and Costumes, Tour)

            10:00   Centennial, Glenelg Country and Oakland Mills

            10:15   Hammond, Atholton and Marriotts Ridge

            10:30   Wilde Lake, Long Reach and Mount Hebron

            10:45   Notre Dame, River Hill and Severna Park

            11:00   Annapolis, Resevoir and Beth Tfiloh

            11:15   Hereford, Loyola Blakefield, Catonsville

Note: ALL schools and ALL performers will participate in the Hippodrome tour, regardless of past Cappies experience.  The tour will allow performers to walk from school seating areas, to dressing rooms, to stage, and back.

 

10:00 AM – 11:00 AM – Run through for Opening and Closing numbers for SINGERS and DANCERS

 

11:00 AM – Zen breather (lunch for tech and orchestra), walk through for AMBASSADORS  (Note: We are locked out of the Theatre space for 1 hour, due to union lunch.)

 

12:00(ish) – 3:30PM – Run through with Lunch

 

3:15 - Call for all NOMINEES/COMMENDEES in Procession

 

3:30 – 4:15 PM – Run through Procession

 

4:15 PM – House will be cleared of all people and personal belongings

 

4:15 – 5:00 PM – Last chance to get in formal attire or costumes

 

5:00 PM – All required to be in $1K Room

 

5:10 PM – Final announcements by Kathryn, Cate, Carole, Pam

 

5:20 PM – Go to places and hold

 

5:30 PM – Showtime!

 

Students may not leave Hippodrome once they have checked in.

 

Arrival, Load-In and Tour (NEW)

 

We have scheduled a time for each school to arrive at the Hippodrome, check in at the security table in the lobby, load in props/set pieces through the loading dock, costumes into the 1K room, and take a tour of the Hippodrome so you are your students will know how to get around.

 

When you arrive at the Hippodrome…

ό  Check each student in at the security table in the lobby.

ό  Pick-up your Director Packet at the security table.

ό  Load-in props and set pieces at the loading dock. (See below)

ό  Load-costumes onto the rack provided for your school in the 1K room.

ό  Take a tour of the Hippodrome space with your students.

 

 

Load-in and Load-out

 

If you are loading in set pieces or props, you need to adhere to the aforementioned schedule. You should bring your vehicle to the loading dock on Baltimore Street, load set pieces on the dock and the tech staff at the Hippodrome will load them into the theatre. You are not to load your set pieces into the theatre according to IATSE rules. Once you have loaded your set pieces on the loading dock, you must remove your vehicle in order to expedite the whole process.

 

Gala Day Activities

 

In order to prepare for this hectic and wonderful day, please make sure that you share the appropriate information with your students.

 

  • LUNCH ORDER: Make sure that you have placed your lunch order with Kathryn Carlsen at Centennial High School- deadline has passed.
  • SECURITY LIST: Make sure that you send your list of everyone- students, parent volunteers, teachers- who will be entering the Hippodrome before the Gala. If someone is not on this list, they will not be allowed into the Hippodrome. (Attached form)
  • ENTRANCE: When students arrive at the Hippodrome for rehearsal they need to enter from Eutaw street and check in with the security table in the lobby.
  • COSTUME DROP: They should then drop off their costumes and formal wear in the on the racks provided for each school in the 1K room.
  • TOUR: Students and teachers will be going on a tour of the space.
  • HOLDING ROOM: Then, students should go to the 1K room and wait for their cue to go to the theatre for some announcements.
  • DRESS REHEARSAL: The run will be in costume so you need to decide what time your students should be getting ready according to the show order.
  • STAGGERED LUNCH: Lunch will be served to students when they are not on stage. More information about this will be given on the Gala day.
  • SNACK: It is recommended that your students bring a power bar or some small snacks with them since they will be there all day. We are not supposed to bring in outside food into the Hippodrome so please use discretion.
  • DECORUM: Students should be on their best behavior during the rehearsal.
  • PROCESSION: Once we have run the show, we will be rehearsing the procession.
  • TIMING: Students will have time to get dressed in formal wear throughout the rehearsal. Encourage your students to do this.

Thursday!  Panic in  the streets!!!  Girls, I was told that only eight of you turned in your money by Wednesday!  ...that has me in a tizzy--- Do you think we can do the numbers with that few people? I'm assured that we are just late in getting our money in and that it will all be there when we check TOMORROW, FRIDAY.

News: Caroline V and Anna B are going today to try out for Dancers! Yeah! We hope you make it! Our Amanda Dickson is choreographing so we think your chances are very good.

Anna tells me that Ben, Dyntania, Mike and Justin are all with us and dropping off ticket money today.

June Ann Jones also will not be with us so her part will be given to someone else.  We are doing a combo of the first and last numbers. The selection must be less than 3 minutes long so we are reworking things to feature the goddesses and Maria and to make it make sense. 

 

WEDNESDAY

I hear that Casey will be with us and that you have started to bring in your cash. Thanks so much for that! Be sure to remember that all money is due TOMORROW Thursday. I am working on getting the dates for our rehearsals. It looks like the vocal will be May 5, 3:30-4:30 and I am waiting to hear from Amanda about a date for staging the next week. I still need to hear from many of the guys. (girls --check your email for lists) So Far, only Ariel Hanke  and Adrienne Brooks have told me that they do not plan to attend.

If you plan to attend you must:

1) Buy a ticket for you, $35.00, to be paid to NDP and given to Leigh Ann Schneider in the business office.

2) Find and clean your costume and bring it to the Hippodrome that day, if I have it email Blake.

3) Attend two rehearsals-- one vocal and one choreography time TBA at NDP. 

4) Attend one stage rehearsal on Saturday May 16 in Howard County.

5) Find a fancy dress to wear and bring it to the Hippodrome. It does not need to be something new, or something long, but the dress for this evening is formal. The picture above will give you an idea of what people wore because that year we only did costumes for Belle and the Beast. Guys often wear tuxes but a suit coat and tie will do. Dress for the day is casual but you will change into your fancy duds for the show.

 

TAKE NOTE: 

1) You may invite anyone you would like to attend the show. Each person must have a ticket. The show begins at 5:30. All ticket money must be given to Mrs. Schneider in the business office. You must stipulate if the ticket is for you or for your family because family and friends will be seated downstairs and we will be seated upstairs. If your patents and friends do not order their tickets through us they will not be seated with our group.

2) All NDP kids will order tickets through us and all Loyola kids will order tickets through Mr. Garretson regardless of which show they were in. Our groups are seated close together so you can cheer for both schools. 

3) You will receive a lunch on Sunday that will be paid for by NDP $10.00.
